Straight answers to common IT questions

The things owners and office managers ask us most.

What does managed IT cost?

Most providers charge a flat monthly fee per user or per device. What moves the number is how many people you have, how many servers and cloud services need looking after, the hours you want covered, and whether backup and security are included or extra.

Ask for a written quote that lists what is covered and what is billed separately. Projects, new hardware and after-hours work are the usual surprises.

When should a small business outsource its IT?

Usually when one of these is true: the person who "does IT" has a different job title, your one IT person can't take a vacation, projects keep getting pushed back by daily support, or nobody can say when a backup was last tested.

You don't have to hand over everything. Many companies keep their IT person and bring in a team behind them.

What should we do right after a ransomware attack?

Disconnect affected computers from the network and Wi-Fi, but leave them powered on and don't wipe anything. Call your IT provider and your cyber insurance carrier before you respond to the attacker.

Restore only from backups you know are clean, and only after you know how the attacker got in. Then change every password, starting with email and admin accounts.

Doesn't Microsoft already back up our Microsoft 365 data?

Microsoft keeps the service running and holds deleted items for a limited time. That isn't the same as a backup you control. Once the retention period passes, a deleted mailbox or folder is gone.

A separate backup keeps its own copy of your email and files, so you can restore a single message or a whole account from any point you kept.

What is the difference between backup and disaster recovery?

A backup is a copy of your data that you can restore from. Disaster recovery is a standby copy of your servers that you can switch to and keep working while the originals are repaired.

Backup answers "can we get our files back?". Disaster recovery as a service (DRaaS) answers "how long are we down?". Most businesses need both.

What is the difference between co-managed and fully managed IT?

Co-managed means you keep your own IT person and the provider backs them up with more hands and deeper skills. Fully managed means the provider is your IT department and your staff call them directly.
